So I am taking a Business Communication class at school. Over the course of my business class we are supposed to learn the ways of communicating with people through speaking and writing (presentations, reports, letters, or business memos)
Today I learned a lot of information that I feel also applies to writing books, so I wanted to share with you guys what I learned :blush:

I'm going to write it exactly how it is written in my notes, so let's get started!

Clarity and Short Sentences
Write short sentences by:
• limiting content
• using words economically
(economically will be described later on)
A sentence on average should have 16-18 words in it.
Try to make sure you do not have any unnecessary content in your story. If the scene you write has no importance in moving the story along, then it shouldn't be there!

This is relevant to both writing stories and writing scripts. So script writer's this applies to you too!

Economize on Words
• eliminate clutter
• cut surplus words
• rephrase roundabout constructions
• remove unnecessary repetition
This is basically further explains what to do in order to keep your paragraphs clear.
Eliminate what is not necessary.
Rephrase sentences to be more direct (make the sentence active not ive).

Last but not least, do not repeat words or phrases unless it is necessary. You can repeat a statement if you want to emphasize an important point (will discuss that more)

Manage Emphasis in Sentences
• write sentences that give their contents proper emphasis
• short sentences stand out
• long sentences de-emphasize content
This is important! If you want to emphasize something, make the sentence short! Shorter sentences do stand out more, while longer sentences de-emphasize the sentence.

Give the Sentences and Paragraphs Unity
• relate ideas logically
• limit the details in each sentence
• keep paragraphs short
• make paragraphs coherent
Make sure the sentences in a paragraph relate to each other. In order to do this, you should stick with one topic per paragraph!
Do not talk about the girl leaving school and then her buying something at the grocery store in the same paragraph. Make them two separate paragraphs
Reason for this is because long paragraphs are not pleasing to the eye. People see a long paragraph as dull and boring compared to multiple small paragraphs
As for giving paragraphs unity, try to have each paragraph relate to each other in a chapter.
To further explain what I mean by this, I am going to use my book as an example.
So in chapter 8 of my book "You Inspire Me", Analyn goes to Carter's concert. The previous chapter was about her working on a song with Carter. The chapter would be cluttered and way too long if I combined the two chapters!
Plus, both events do not relate to each other, so the chapter would be all over the place.

Ohhh! Awesome how two seemingly different subjects relate to eachother~~
Right? That's what I thought! I used to be an English major and thought that I'd never use what I learned from there in Business, but it turns out I'm using what I learned in English all the time. Business deals with a lot of philosophy as well, it's interesting!
